How Is the Exchange Rate Calculated?

We use the official bank exchange rate at the time of billing.

If you’re paying in USD or other foreign currencies, we calculate the amount based on the bank’s current exchange rate on the day we issue your invoice. We do not add any hidden fees or inflated conversion rates—our goal is to keep things simple and fair.

For example:

  • If you’re paying from Japan, we’ll use the daily USD-JPY bank rate to calculate your total cost in Japanese Yen.

  • If you’re paying in USD, you can also pay the tuition and fees directly in US dollars without conversion.

We welcome payments in USD, Japanese Yen, or other major currencies, as long as the conversion is based on the real-time bank rate.
Please note that if you use PayPal or credit card, a processing fee (usually around 4.5%) may apply depending on the platform.

If you want to check the exchange rate yourself, we recommend checking your local bank’s rate or using trusted sources like xe.com.

✅ We Use the Official Bank Exchange Rate

We use the official bank exchange rate, as published by reputable banks in the Philippines, such as:

  • Bank of the Philippine Islands (BPI)

  • Land Bank of the Philippines

  • UnionBank

  • Other well-known financial institutions

The rate applied is the one available at the time your invoice is issued or when you confirm your booking. This ensures a fair and reliable conversion from Japanese Yen or USD to Philippine Peso (PHP).

We do not use black-market rates or unofficial money changers, and we do not add hidden conversion fees on top of the rate. You pay what you see.

Payment in USD Is Always Welcome

While most Japanese students pay in Yen, international students are welcome to pay in USD, especially when making bank transfers or using PayPal.

We calculate the USD amount based on:

  • The latest bank rate

  • The total JPY amount due

  • Clear documentation of how the rate was applied

This makes it easy for students from countries like the U.S., Canada, Korea, or Europe to make international payments.

If you’d like to pay in another currency (e.g. EUR, KRW, VND), feel free to contact us in advance. We’re happy to accommodate when possible.

Exchange Rate and Payment Methods

We currently accept the following methods of payment:

  • Bank Transfer (JPY or USD)

  • PayPal (USD or JPY, with 4.5% handling fee)

  • Cash (PHP, on arrival for local fees)

In all cases, the currency conversion is based on the official rate at the time of invoice or confirmation, not at the time of actual payment. This helps avoid confusion due to fluctuating rates.

Example:
If your total invoice is ¥140,000 and the exchange rate is 1 USD = 140 JPY, then you’ll pay $1,000 USD. We lock in that rate upon confirmation.

What If I Use a Study Abroad Agent?

Some students use study abroad agents in their home country. In these cases, the payment and currency exchange policies may differ depending on the agent’s own procedures.

If you are paying through an agent, please confirm with them directly whether:

  • They accept USD, JPY, or local currency

  • They apply their own exchange rate

  • Any additional fees or markups are applied

3D ACADEMY has no control over third-party agent pricing, so please check carefully.

Things to Keep in Mind

  • Exchange rates fluctuate daily, sometimes even within hours.

  • If you delay payment after receiving an invoice, we may need to recalculate based on the updated rate.

  • We recommend paying promptly to lock in the confirmed rate.

We’re also happy to show you a screenshot or official link to the bank rate used when we calculate your invoice.


Students from Countries with Banking Restrictions

While our standard policy is to accept payments in USD or the equivalent in Japanese yen, we understand that some countries face banking limitations. For example, students from Russia, Myanmar, or certain parts of Africa may encounter restrictions when making international bank transfers.

In such special cases, we are open to discussing flexible arrangements. This could include:

  • Partial payment upon arrival (in local currency or USD cash)

  • Use of alternative payment services (e.g., Wise, Remitly, PayPal)

  • Transfers through third-party family or representatives abroad

If you believe your country has limitations, please contact our team before payment to arrange an appropriate solution. We will do our best to support your application process.


Currency Volatility and Payment Advice

Because exchange rates can fluctuate daily, we advise students to monitor the rates if you plan to pay in JPY or any non-USD currency. Booking your course in advance and paying promptly after receiving your invoice is the best way to avoid unexpected increases in cost.

If you prefer to minimize exchange risk, we recommend paying directly in USD via bank transfer. This allows you to take control over the exchange rate by choosing when to convert your local currency to USD.


Secure and Transparent Pricing

At 3D ACADEMY, we are committed to fair pricing. We do not charge hidden fees or inflate the exchange rate. All tuition, dormitory, and optional services are priced in USD and calculated accurately based on the real bank rate.

We will always include the exchange rate and total cost in your invoice for full clarity.


Refund Policy and Exchange Rate Impact

If a refund is issued (e.g., in case of cancellation), the refunded amount will also be calculated in USD. Please note that any currency loss or gain due to fluctuations in exchange rate between payment and refund is the responsibility of the student.
